Time tracking
Run a timer on a case, add and edit time entries by hand, and export a case's time as CSV or a printable billing summary.

Running a timer
On a case, choose Start timer. While it runs, an indicator in the top bar shows the case, the elapsed time and a Stop button, so you always know a timer is on. You can also start and stop the timer with Ctrl + . (Cmd + . on a Mac), or use Start timer on your dashboard.
Only one timer runs at a time. If you start a timer on a second case, PIToolkit asks whether to stop the one already running.
The running timer is kept in this browser. It survives a page reload, but you won’t see it on another device or browser.
Long-running timers
After a timer has run for four hours, you’ll see “Still working?”. The reminder never stops the timer; it’s there so you don’t discover an eight-hour timer at the end of the day. You can turn these reminders off with the Timer reminders notification setting.
A single timer run over 30 days can’t be saved. Add the time you actually worked as a manual entry instead.
Adding time by hand
Choose Add Time Entry on a case and fill in:
- Date
- Time worked, as hours and minutes or decimal hours (for example 2:30 or 2.5)
- Description (optional)
Entries are priced at your workspace’s default billing rate. You can change an entry later with Edit. Entries can’t be deleted.
You can’t add time to an archived case, or to a case that’s over your plan’s active-case limit.
Reviewing your time
Each case’s time tab lists its entries, most recent first. A No rate set filter shows entries that have no billing rate.
The Time & Billing page gives you totals across your workspace: entries, cases, hours recorded and billable amount.
Exporting time
From a case’s time tab, choose:
- Export CSV to get a spreadsheet file you can import into the tool you invoice from, or
- Export PDF to open a billing summary in your browser’s print dialog, where you can print it or save it as a PDF.
An export covers up to 2,000 entries per case. Time tracking and export are unlimited on every plan, including Free. Exports are per case; there’s no workspace-wide time export yet.
How private is my time data?
Time entries are handled differently from the rest of your case today. The date, duration and billing rate of each entry, and your default billing rate, are stored in a form PIToolkit’s servers can read, and the server works out timer durations. The case they belong to stays encrypted. A planned update moves these fields into encrypted storage. See What PIToolkit can and cannot see.
Invoicing inside PIToolkit is planned but not available yet. For now, export your time and invoice from the tool you use today.
