Creating a report

Open a case and choose New report. The report starts with sections suited to the case type:

Case type Starting sections
Surveillance Observations, Timeline, Subject description
Background check Findings, Records checked
Insurance Claim details, Investigation summary
Domestic, Skip trace, Other Summary, Findings, Conclusion

Tick or untick a section to include it. Your work saves automatically; the status shows “Saving…” and then “Saved”. A draft is visible only to your firm.

In any section you can Reference evidence, up to 20 exhibits per section. They’re listed by file name in the report; images aren’t embedded in the PDF.

Branding and the PDF

Reports carry your firm’s logo, business name and colours from firm branding. Choose Preview PDF to see exactly what your client will get, and Download to save it.

On the Free plan, every page of the PDF carries a “PITOOLKIT FREE PLAN” watermark, including the copy your client receives. There’s no limit on how many reports you can create or publish on any plan.

Publishing to your client

Open Review & publish on the report. It walks you through:

  • Appearance: the PDF your client will receive
  • Included evidence
  • Client access
  • Confirm: choose Publish to client

Your client can open and download it in their portal as soon as you publish.

You need a client on the case who has finished setting up their portal account, and whose safety code you’ve approved. If there isn’t one yet, nothing is published; use Invite Client on the case first. See Inviting clients to the portal.

If a client joins the case after you published, they don’t get earlier reports automatically. Use Re-share on their row under Client access on the case.

Changing a published report

You can keep editing after publishing. The status line tells you “Changes not yet published” and that your client still sees the published version. When you’re ready, choose Replace published version.

Unpublishing

From More, choose Unpublish. Your client can no longer see the report in their portal. Anything they already downloaded stays with them; unpublishing doesn’t take back a copy. You can publish again at any time.

Reports can be renamed with Rename, but not deleted.

The Reports page

Reports lists your reports from every case, drafts and published, with their case, status and creation date. It shows the 50 most recently created. To find an older report, open its case.

More in Time and reports

  • Time tracking

Run a timer on a case, add and edit time entries by hand, and export a case's time as CSV or a printable billing summary.
