Where notifications appear

PIToolkit notifies you with the bell in your workspace, and by email for some kinds of notification. Emails never contain case content. They say something happened and ask you to open PIToolkit to see it.

Choosing what you hear about

Go to Settings, section Notifications. Everything is on by default; turn a category off to stop being notified about it. Your choices apply from then on.

Category What it covers How it arrives
Case updates and status changes Evidence uploads, status changes and published reports on your cases In-app
Timer reminders A reminder when a timer has run for over four hours A banner by the running timer
Client activity in the portal New secure messages from a client; a client reading your message; a client requesting a download of a report or file you shared New messages: in-app and email. The rest: in-app
Plan and retention warnings Storage and active cases approaching your plan’s limits In-app; storage warnings also by email

Two things to know:

  • Turning off Client activity in the portal also turns off notifications of new messages from clients.
  • Retention dates coming up appear in Needs attention on your dashboard, rather than as notifications.

Alerts you can’t turn off

These are always sent, in-app and by email, so you hear about them even when you’re not signed in:

  • Sign-in from a new device
  • Account locked or unlocked (after repeated failed sign-in attempts)
  • Backup codes replaced
  • Recovery key replaced
  • Account key replaced

You’ll also always get notices when your plan changes and when PIToolkit support replies to a request.

What your clients are notified about

Clients currently receive email only for their portal invitation, when a case is closed (with the date their access ends), and if you schedule your account for deletion. They aren’t emailed about new messages, reports or files; they see those when they next visit their portal. Their portal has notification choices they can set now, which will apply once more client notifications are available.

More in Client portal and messaging

  • Inviting clients to the portal

Invite a client to a case, approve their safety code, share reports and files with them, and end their access. Returning clients keep one account.

  • Secure messaging

Exchange encrypted messages with your client on each case. Who gets notified, what the unverified-sender warning means, and current limits.
